Challenge

Known worldwide for its pioneering commitment to geospatial technology and analytics, this organization has become synonymous with innovation. Its offerings go beyond a leading-edge product portfolio—the company also helps customers unlock the true value of their investment through professional support and training delivered by an extensive network of experts.

To uphold the high standards of excellence the business has become known for, its professional services team must facilitate a frictionless contract lifecycle. That means quickly matching consultants to roles based on contractually defined criteria and providing proof of their qualifications and experience to support the contracts team. For a long time, this was easier said than done.

The internal service delivery team previously relied on a manual process to collect consultant data from global resources, match suitable consultants to projects, and generate the necessary documentation for each contract. This process was managed through a custom workflow built on Microsoft SharePoint and a tailored web application. However, the system was outdated, inefficient, and required significant back-and-forth communication—often taking days or even weeks to complete. Furthermore, the compiled information and consultant resumes were not accessible within the company’s primary platforms for managing resources and delivery engagements.

The services business needed to modernize. The team required a one-stop shop that would allow its approximately 650 consultants to maintain their own professional data in Salesforce and provide the internal service delivery staff with access to about 30,000 related records, automate resource allocation and resume creation, and centralize document storage.

Solution

Solution

Determined to eliminate the digital friction caused by the siloed workflow and data store, the organization chose Conga for its future-forward feature set and seamless integration with Salesforce. Conga CLM for Salesforce and Conga Composer allowed the company to unify and automate project staffing processes and remove this significant speed bump in the contract lifecycle. The internal service delivery team can now retrieve resource data from a single location, rapidly align consultants with contractual requirements, and generate tailored, on-brand resumes for the contracts team with minimal effort.

Eliminating silos allows our resources and resume builders to get more done in the Salesforce platform, where they are accustomed to spending much of their time. This accelerates the speed at which they can locate existing resumes and create new records.

Because the company can now provide consultants and the internal service delivery team with full workflow visibility in Salesforce, it was able to implement a record and resume review process that is familiar to and user-friendly for all parties involved.

They were also able to marry the information in Conga CLM, Conga Composer, and other internal software, extending this visibility across the entire contract lifecycle for the professional services team.

Contract turnaround time is faster, operational readiness is improved and the business is able to proactively mitigate compliance-related risks more effectively and avoid penalties.

The company also expects to see a significant return on time invested in professional data entry and maintenance, record review and revision, and resume creation. This will allow its entire services team to work more efficiently and focus more fully on its most important mission—delivering high-impact support that enables customers to drive measurable results using their cutting-edge technology.

The services business isn’t stopping here, however. The success of this effort shined a light on the transformative benefits of breaking down business barriers and embracing automation, sparking discussion about further process and system improvements, including potentially automating the entire contracting lifecycle from opportunity to proposal to contract.

As they work to bring together and optimize as many pieces of the services contract and delivery puzzle as possible, its leaders continue to explore not only ways to maximize the value of the Conga products it has already adopted but also what other offerings may bring even more value.
